Contract, invoice and completion act for a domain: what you need

When a domain or hosting is bought on behalf of an organisation, the accounting team immediately asks for paperwork. Is there a contract, when will the invoice arrive, who signs the completion act? These questions usually surface after payment and slow everything down. Each document has a clear job, and once you understand the sequence, later orders go much more smoothly.

The document chain

Services between legal entities are usually documented in the same order. The relationship is set by a contract or public offer, the provider issues an invoice for payment, the customer pays from its bank account, and after delivery a completion act and a tax invoice are issued. Each link relies on the previous one, so company details, amounts and service names must match across all of them.

Contract or public offer

Most domain and hosting providers do not sign a separate paper contract with every customer. They publish a public offer, which the customer accepts by registering and paying. Keep a copy of the version in force on the payment date, since providers update these texts. Government bodies and large companies often require a contract signed by both parties; ask the provider for a draft before ordering. The service should be named precisely, for example registration of misol.uz for one year, not vague "internet services".

Invoice for payment

The payment invoice shows the provider's full name, taxpayer number, bank details, the service, quantity and amount. Your bank payment order should reference the invoice number and date in the payment purpose, otherwise the provider may struggle to match the payment and activation is delayed:

Payment purpose: payment under invoice No. 1024 of 15.03
for registration of the domain misol.uz

Bank transfers take time to arrive, so do not leave the renewal of an expiring domain to the last day. If you register in the sayt.uz cabinet as a legal entity, you can get the invoice for an order there and track its payment status.

Completion act and tax invoice

The completion act confirms the service was provided as agreed. For a domain it is usually issued after registration or renewal; for hosting, at the end of the period or as the contract specifies. Acts are increasingly exchanged electronically with digital signatures, which requires both sides to use the same operator system or connected systems.

Electronic tax invoices are widely used between legal entities in Uzbekistan and are sent and accepted through dedicated electronic systems. Before signing, check that your company name and taxpayer number are correct, that the service and amount match the invoice and act, and that VAT is shown correctly. If something is wrong, reject the document with a comment and the provider will send a corrected one. Tax requirements change, so confirm current rules with official sources or your accountant.

Example: a logistics company

A Tashkent logistics company ordered misol-kargo.uz and hosting for a new service line. Its rules require a two-party contract for every expense, so the manager requested a draft, the lawyer reviewed it and the director signed. The accountant then paid the invoice from the cabinet, quoting its number in the payment order. Once the money arrived the domain was registered and hosting activated, and a few days later the act and tax invoice appeared in the electronic system. The accountant compared amounts and service names and signed. Next year's renewal simply repeats the same steps.

Keep the documents grouped by domain and year: one folder per domain with the contract or offer copy, invoices, payment orders, acts and tax invoices. During an audit or a change of provider, anything you need is then minutes away.
